EXECUTIVE BOARD MEETING

Minutes for
June 9, 2008

Cleveland High School Alumni Room

 

The meeting was called to order by the President Odis Avritt at 11:30 AM.

 

Present:  Ted Amato, Odis Avritt, Gary Bishop, Julie Branford, Neshia Cameron, Paul Cook, Pat Dannen, Kari Freeman, Karen Genzer, Dennis Maloney, Jean Miller, Marty Schwan, Tom Strader, Dave Voll

 

  1. Minutes from the May 12, 2008 meeting were approved as written.

 

  1. Treasurer’s Report:  We have 643 annual members and 309 lifetime members for a total membership of 952.  Current assets for the Association are $18,297.49.  The Scholarship Fund balance is $4,655.86.  Golf Tournament balance is $665.00.  Alumni Picnic balance is $1927 (which includes $675 designated for scholarships.  Actual assets are $11,049.63.  The Oregon Community Foundation balance as of March 31, 2008 is $181,866.57. 

 

Budget/Finance—No report

 

  1. Principal’s Report:  Paul Cook reported that Marshawna Williams, a 2008 Cleveland graduate, was selected Queen of Rosaria last Saturday morning.  Approximately 300 students graduated at the recent graduation ceremony. 

 

The school is in the process of hiring for certified and classified positions which are available.  This includes open positions due to increases in enrollment as well as recent retirements.  The projected enrollment for 2008-2009 is approximately 1600 students.  The Clinton Alternative School which has been housed at Cleveland for 28 years will be moved to Franklin because the space currently being used will be needed for the increased number of students.  Paul also indicated that Kevin Taylor, Assistant Principal, will be leaving Cleveland High School and is going to the David Douglas School District

 

Next fall, the Homecoming Game and Dance will be held on Thursday, October 23, 2008.  The festivities are being held on Thursday because there is no school on the following Friday. 

 

    1. PTA—Kari Freeman reported that the PTA is still looking for a president.  The group disbursed funds to assist in helping defray the costs for students who are attending the national FBLA conference.

  1. Standing Committees and Liaison Reports:

 

Scholarship—Jean Miller reported that 105 people attended the luncheon in May.  The raffle raised $492 for scholarships.  There is a concern because of declining participation.  Stats regarding attendance at the 2008 luncheon include 29 Scholarship Committee members, 30 Commerce alumni, 38 Cleveland alumni and 8 guests.   Discussion will be held pertaining to future luncheons.

 

Membership—Dave Voll reported that 186 members have not renewed which currently gives us 766 paid members.  Odis Avritt will become the chairperson of the Membership Committee.  Dave Voll was commended for his efforts on behalf of the Association for developing and maintaining the current database which he will turn over to Odis.

 

Communications—Dennis Maloney reported that efforts are being undertaken to create a website that will be more user friendly.  This would include visitors to the website as well as the individual(s) charged with the responsibility to update it regularly. 

 

Golf Tournament—Ted Amato reported that the invitations have been sent by regular mail and by e-mail to previous participants and sponsors.  Don’t forget Wednesday, August 20, Auction/Raffle which will be held at The Eastmoreland Golf Course at 6 p.m.  The actual tournament will be the next day with a 2 p.m. shotgun start.  The Committee is looking for auction and raffle items which can be either golf or non-golf related. 

 

Board Development—Dave Voll, current chairperson, reported that Odis Avritt, Past President, will become the chairperson of this committee in September. 

 

5.       Topics of Discussion and Updates:

 

Alumni Newspaper:  Dennis Maloney reported that articles should be written and submitted to him to accommodate an early November publication.  Discussion was held about including articles in the newsletter which would cover current events happening at Cleveland High School.

 

Spring Luncheon:  Jean Miller reported that the date for the 2009 luncheon is in the discussion stage.

 

2008 Alumni Picnic:  Neshia Cameron reported that the invitations for the picnic have been sent out.  There will be an article in “The Sellwood Bee” current issue and in “The Oregonian” on June 12.  For those who do not receive a paper, there will be information online at the websites for the papers. The goal is to have 20 raffle baskets available.  The cheerleaders will be in attendance to sell raffle tickets and lead us in songs and cheers.  After discussion, a motion was made to give a gift (not more than $100) to LindaCarol McKinlay, Cleveland staff member, for her work on the Alumni Picnic mailing.  The motion was seconded and passed. 

 

Distinguished Alumni Award:  Julie Branford reported that letters have been sent to the honorees for the October 23, 2008 event.  The reception to honor these individuals will be held at Waverly County Club from 4 to 6 p.m.  Later that evening, they will be recognized at the Homecoming Football Game.

Julie Branford reported that she attended an advisory council meeting for developing an intra-city high school alumni association.

Executive Committee Meeting will be Monday, September 8, 2008 at 11:30 a.m. in Alumni Room.

 

Board of Directors’ Meeting will be Wednesday, September 17, 2008 at 7 p.m. at Cleveland High School Library.
